Understanding how the dominant ATS platforms work — and what causes perfectly qualified candidates to be screened out — is essential for any US job search.

Why resumes fail ATS — the most common causes
1. Two-column layout
This is the single most common cause of ATS failure for US resumes (Forbes, 2026). When text is arranged in two columns, most ATS parsers read left-to-right across the full page width — mixing content from both columns into incomprehensible text. Your experience from column A gets merged with skills from column B. The parsed document becomes gibberish to the system.
Fix: Single column layout throughout. Test by copying your resume text into Notepad — if it reads clearly in the correct order, it will pass ATS parsing.
2. Tables used for main content
Tables (even simple two-column tables) are frequently misread by ATS systems. The parser reads table cells sequentially, often in an order that doesn't match the visual layout. A table with dates in the left column and job titles in the right becomes scrambled when parsed.
Fix: Remove all tables from the main content of your resume. Line-by-line text with consistent formatting is the safe alternative.
3. Headers and footers
Content placed in Word headers and footers (your name, contact information, or page numbers) is frequently missed entirely by ATS parsers. If your name is only in the header, the ATS may not know whose resume it is.
Fix: Put your name and contact information in the main body of the document, not in a header or footer.
4. Non-standard section headings
ATS systems look for specific section headings to categorise content correctly. Creative headings like "My Journey," "Where I've Been," or "What I Bring" confuse parsers that expect "Work Experience," "Education," "Skills," and "Certifications."
Fix: Use standard US section headings: "Professional Summary," "Work Experience" or "Professional Experience," "Education," "Skills" or "Core Competencies," "Certifications."
5. Graphics, images, and icons
Resume graphics — skill bars, profile photos (also inappropriate in the US), logos, decorative lines — are invisible to ATS parsers. They also inflate file size without adding searchable content.
Fix: Text only. No images, skill bars, graphs, logos, or decorative elements.
6. PDF formatting (image-based vs text-based)
Some PDF creation tools produce image-based PDFs rather than text-based PDFs — the resume looks normal visually but the text cannot be extracted by ATS. This is particularly common with scanned PDFs or resumes designed in Canva or similar visual tools exported directly to PDF.
Fix: Export to PDF from Word or Google Docs (produces text-based PDFs). Test by selecting and copying text in the PDF — if you can copy the text, it's text-based. If you can't select text, it's image-based and will fail ATS.
Keyword optimisation — the ATS scoring logic
ATS systems score your resume against the job posting using keyword matching. Modern systems (especially Greenhouse and Lever) use semantic matching — they understand that "managed" and "led" are related. Older systems (Taleo) use exact-match keyword scoring. Best practice for both:
- Read the job posting carefully and identify the specific skills, technologies, and qualifications explicitly listed
- Use the posting's exact terminology in your resume wherever your experience genuinely matches
- Include both spelled-out terms and abbreviations where applicable: "Search Engine Optimization (SEO)" rather than just "SEO"
- The skills/competencies section at the top of your resume is particularly ATS-weighted — keyword-dense, precise, and tailored to each application
- Do NOT keyword stuff with terms that don't reflect your actual experience — this is immediately apparent to human reviewers
