The role of the cover letter in US hiring has evolved in the ATS era. For online applications through portals, a cover letter is often not required — and when it is, there is evidence some ATS systems don't parse it effectively. However, for professional and senior roles, direct email applications, and positions at companies that explicitly request them, a strong cover letter remains a meaningful differentiator. The gap between a generic cover letter and a well-crafted one is immediately visible to US hiring managers.

When to include a US cover letter

US cover letter format

ElementStandard
Length3–4 paragraphs. One page maximum. 250–400 words. US recruiters spend 30–60 seconds on a cover letter — brevity is valued.
Opening"Dear [Name]," if known. "Dear Hiring Manager," if not. Never "To Whom It May Concern" — it's outdated and signals a generic application.
ToneProfessional, direct, and confident. American professional culture expects self-advocacy — don't apologize for applying or understate your qualifications.
Closing"Sincerely," or "Best regards," — your full name, phone, and LinkedIn URL below.

US cover letter structure

Paragraph 1: Why this role and your strongest credential

Don't open with "I am writing to apply for..." State the role name and your single most compelling reason for fit in the first two sentences:

"As a CPA-licensed financial manager with 9 years in US healthcare finance, I was drawn immediately to the Controller role at [Company]. The opportunity to build out the FP&A infrastructure at a growth-stage healthcare technology company is exactly the challenge I've been seeking — and the $14M monthly close optimization I led at [Current Company] demonstrates I can deliver results at the scale your role requires."

Paragraph 2: Two strongest relevant achievements in USD

Connect your two most powerful quantified achievements to the specific requirements in the job posting. Mirror the posting's language.

Paragraph 3: Why this specific company

One specific reference to the company's product, strategy, culture, or recent news. US employers notice — and appreciate — genuine company-specific research.

Paragraph 4: Confident close

"I'd welcome the opportunity to discuss how my experience can contribute to [Company]'s goals. I'm happy to connect at your convenience." No begging, no excessive hedging — confident and direct.
