A covering letter (cover letter) remains an expected part of professional job applications in South Africa, particularly for mid-to-senior roles, government positions, and applications sent directly to hiring managers by email. While many online ATS applications have eliminated dedicated cover letter fields, a well-crafted covering letter sent with a direct email application remains a genuine differentiator in the SA market.
When a SA cover letter is required
- Always include when emailing directly to a hiring manager, HR department, or recruiter — the cover letter is the email body or a PDF attachment
- Government applications (Z83 submissions): A covering letter is typically required alongside the Z83 form and CV — address the minimum requirements of the post explicitly
- May omit for: Online ATS applications (PNet, Workday, SuccessFactors) where no cover letter field is provided
SA cover letter format
| Element | Standard |
|---|---|
| Length | 3–4 paragraphs. One A4 page maximum. Brevity is valued — 250–350 words is ideal. |
| Opening | "Dear [Name]," if you know the hiring manager. "Dear HR Manager," or "Dear Hiring Manager," if not. |
| Closing | "Yours sincerely," (if you used their name) / "Yours faithfully," (if not). Full name and contact details. |
| Format | Professional business letter format. Match your CV font and styling. |
SA cover letter structure
Paragraph 1: Why this role, and your strongest selling point
State the specific role you are applying for (many companies advertise multiple roles simultaneously). Then lead with your single most compelling reason you are a strong fit.
Paragraph 2: Your two strongest relevant achievements
In ZAR and measurable outcomes. Connect them directly to requirements stated in the job advert.
Paragraph 3: Why this specific company
SA employers, like employers everywhere, notice generic letters. One specific, accurate reference to the company's strategy, recent news, or values demonstrates genuine interest.
Paragraph 4: Closing
"I would welcome the opportunity to discuss my application further at your convenience." Brief and confident — no begging, no excessive self-deprecation.
Government cover letter — addressing minimum requirements
For DPSA and provincial government applications, your cover letter must address each minimum requirement stated in the advert. Treat the minimum requirements as a checklist — methodically confirm that you meet each one with a specific statement of evidence. An application that does not demonstrate compliance with minimum requirements will be automatically rejected.
Example SA cover letter opening (private sector)
"I am applying for the position of Senior Financial Manager (Ref: SFM-2026-047) advertised on PNet. As a CA(SA) with 9 years of financial leadership in South African FMCG — including 3 years as Financial Manager at a JSE-listed retail group — I believe I offer precisely the combination of technical depth, commercial judgement, and listed-entity compliance experience that your role requires."
